What if I said you could stay on top of proposal schedules and deadlines while simultaneously building rapport with SMEs?
The secret to achieving these goals simultaneously is simple: imitate construction teams.
After 20 years in this business, I’ve worked with my fair share of construction teams. What they absolutely must stay on top of is project management. Which is why they have daily standup meetings.
Every day on the job site, they go over safety updates, delivery schedules, major activities, and any meetings. They ensure everyone who needs to be on-site that day is there. They coordinate with superintendents to make sure there are no stop gaps in the day’s work. And they do a daily, weekly, and 3-week lookahead to ensure everything is still on schedule.
You may not need a standup every single day, but I highly recommend a daily or weekly “Play of the Day” meeting to keep everyone in the loop. You should have each section lead provide updates and any issues or roadblocks to your team.

You won’t solve all the little problems in the Play of the Day meeting (you’ll break out separately to do that afterward). You will have everyone involved with a clear understanding of the big picture and know their role today or this week.
Which means = fewer problems, roadblocks, setbacks, and missed deadlines.
Also, as a bonus benefit by mirroring this strategy from the construction field, we build credibility with the technical team and connect our SMEs to our proposal team.
Remember, SMEs understand:
Schedule.
Coordination.
And project management.
